JOB SUMMARY:

Under general supervision performs a variety of administrative support functions requiring general knowledge of the terminology, procedures, and practices applicable to adult and continuing education; acts as first point of contact for inquiries, schedules meetings and assists in the development and coordination of events, meetings and trainings; creates and maintains physical and electronic filing systems and performs records management duties in accordance with College policy and state and federal laws.

SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Maintains the course schedule and payment system.

  • Assists with student course registration and maintains student records.

  • Updates and maintains the course catalogs and other resources.

  • Assists all walk-ins whether they be visitors or employees.

  • Provides proactive intervention and problem resolution with students or employees who need additional assistance.

  • Coordinates manager's travel arrangement and registrations.

  • Maintains the supplies inventory and orders items as needed and approved.

  • Reconciles P-Card statements.

  • Assists with the review of monthly, quarterly and annual reports.

  • Completes special assignments and assisting with projects, including events coordination.

  • Facilitates communications and manages workflow within the department (i.e. School of Continuing and Adult Education).

  • Schedules appointments and maintains the supervisor's calendar.

  • Completes all other duties and responsibilities as assigned.

QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:

  • Associate's degree from an accredited institution

  • Minimum of two (2) years of proven work experience as Executive Secretary or Administrative Assistant.

  • Prior experience in higher education.

  • Detailed knowledge of Workday systems or similar LMS preferred.

  • Proven experience with Microsoft Office and Windows applications to include demonstrated expertise in office skills such as word processing, database management, spreadsheet, PowerPoint, Windows, and mainframe applications

  • Strong office management skills.

  • Demonstrated ability to maintain a professional, efficient office environment, and effective interpersonal and organizational skills.

  • Ability to compose routine correspondence, organize projects, maintain organized files, greet guests, answer telephones.

  • Ability to maintain the highest level of confidentiality.

  • Ability to work under pressure and deal with the public in a calm, professional manner.

  • Ability to maintain strict accuracy and be detail oriented.

  • Ability to grasp concepts and translate into workable systems.

  • Ability to manage multiple priorities and tasks with frequent interruptions.

  • Possess outstanding time management skills.

  • The following is preferred:

  • Excellent communication skills - both verbal and written.

  • Strong initiative and productivity.

  • Strong analytical skills

  • Intermediate knowledge a spreadsheet application like Excel

  • Excellent organizational, judgment, and human relations skills.

PHYSICAL DEMANDS:

This position requires an ability to sit, stand, walk, bend, lift, reach up, stoop, and carry items occasionally more than twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines, such as, copier, calculator, telephone, and other equipment as necessary. IRSC expects its employees to follow proper safety standards while employed by the College.
