Job Description

Job Summary:(Remote position in the Tallahassee, FL area. May be required to come to the office on occasion.) The Billing Specialist, a key position in the revenue cycle, is responsible for accurate and timely customer invoicing in a high-volume, fast-paced environment. This position will work across teams and with other members of finance to verify pricing, shipping, delivery, contracts and/or purchase orders, taxes, G/L coding, and cost in line with company policy and Generally Accepted Accounting Principles.


Essential Duties and Responsibilities

  • Invoice customers in line with Company policy and Generally Accepted Accounting Principles.
  • Work with Sales, Operations, and Finance to ensure timely and accurate customer invoicing.
  • Understanding and use of company accounting software as related to certain billing tasks.
  • Prepare and post billing transactions and/or adjustments to the G/L.
  • Understanding and use of company's CRM platform as related to billing tasks.
  • Utilize internal and external resources to ensure accurate tax rates and area codes for customer billing.
  • Create sales orders and/or sales credit memos for products/services ordered by customers.
  • Create purchase orders and/or purchase credit memos for products/services ordered from suppliers.
  • Research and respond to customer billing inquiries (internally).
  • Ensure proper distribution of invoices according to customer preference (i.e., mail, email and/or third-party invoicing services).
  • Assist with audits, as needed.
  • Assist Senior Billing Specialists and/or Billing Manager, as needed.

Knowledge, Skills, and Abilities

  • Proficiency with MS Word and MS Excel.
  • Experience with accounting and finance operations.
  • Comfortable with basic accounting concepts (A/R and Revenue).
  • Excellent verbal and written communication skills.
  • Ability to remain detail-oriented in a fast-paced, high-volume and deadline driven environment.
  • Works well within a team.

Education and/or Experience

Two to four years of experience in billing or financial/accounting related environment. A 4-year college degree is a plus.


Environmental Factors and Physical Requirements

  • Physical environmental factors of this position include those found in typical business office environment or home office environment.
  • Requires use of general office equipment and personal computer equipment.
  • Ability to travel. Various means of travel may be required, including auto and air travel. This position requires travel: Rarely
  • May be required to work irregular schedules including but not limited to as applicable: Nights, weekends, holidays, on-call, and/or overtime.
