Job Description

To provide a consistent, high level accounting service to homeowner associations in accordance with Florida Statute 718 &720 and generally accepted accounting practices.

Responsibilities

Essential Functions:

    Accounts receivable
  • Open returned community/owner statements and prepare checks received for deposit by unit and owner number after month has been opened for accounts receivable that do not go to the Lockbox.
  • Key or download all accounts receivables payments.
  • Back up other accounting area with accounting procedures.
  • Ensure all accounts have been charged with certified postage charges and NSF charges.
  • Bill owners with appropriate fines for security citations as directed by Board of Directors.

  1. General Accounting
  • Balance accounts receivable summary to general ledger.
  • Balance general ledger accounts and reconcile checking, money market accounts and certificate of deposit accounts.
  • Prepare analysis on accounts payable and accounts receivable accounts as needed.
  • Communicate with bank representatives on association accounts.
  • Assist other Accountant in keying invoices by vendor number after verifying approved signatures and coding and in scheduling board members to sign checks and invoices.

  1. New owners/Refinances
  • Set up new owners in TOPS.
  • Key new owners on change of ownership form and e-mail as appropriate.
  • Ensure owners' addresses are changed and correct.
  • Provide attorneys and title companies with assessment certifications for properties being sold or refinanced.
  • Work with attorneys and title companies on collecting past due assessments and closings.

  1. Liens and Release of Liens
  • Prepare and send Intent to Lien letters and assist Association attorneys with preparation of Claims of Lien and personal judgment letters.
  • Send all necessary information to attorney for processing.

  1. Customer Service
  • Answer queries from board members, owners and employees.
  • Prepare correspondence as necessary.
  • Provide customer service to misplaced callers, i.e. guests, owners and employees.
  • Perform other duties as assigned by Amelia Island Management Financial Director.

  1. Audit/Vendors
  • Assist in association audits by independent auditor/CPA.
  • Assemble after year-end all A/R, A/P, and General ledger reports, owner check copies and place in banker's boxes for storage. After audits are complete, send to storage room.

Qualifications

Tools & Equipment/Licenses:

  • Computer, fax, calculator, telephone, copiers, printers, adding machine, paper shredder, electronic gate opener.
  • Be able to obtain CAM license.

  1. Working Environment/Required Skills or Proficiencies:

  • Proficient in Microsoft Office (Outlook, Excel, Word)

  • Experience with TOPS software preferred
  • Must be functionally literate.
  • Extensive written, strong verbal and extensive mathematical skills. Perform arithmetic operations involving monetary units.
  • Must be able apply common sense to instructions furnished.
  • Must have strong organization skills.
  • Must have 10 key add by touch, typing skills and computer proficiencies.
  • Must be able to use common sense in carrying out instructions. Must have the ability to read instructions in the use of equipment and methods of procedures.
  • Positive people skills with owners and positive employee relations skills.

  1. Physical Job Requirements (for essential functions only)

  • Must have full range of both arms and hands. Must be able to seize, grasp, turn and hold objects with the hands.
  • Must be able to walk up and down stairs. Must be able to communicate and hear.
  • Must be functionally literate. Must be able to lift 5 to 10 pounds frequently to pull and use check registers, general ledgers, and reports.
