This position is part of Novanta's Corporate and Shared Services global teams. Novanta's Corporate and Shared Services teams play an important role in executing the company's strategic mission and operations. Included in Corporate and Shared Services are the business functions including Finance, Accounting, Human Resources, Information Technology, Legal, Compliance, Corporate Development and Corporate Marketing. The Corporate and Shared Services teams work closely with all Novanta business units to support operating initiatives contributing to the organization's financial success.

Job Summary

The Executive Assistant is responsible for providing administrative support for the Chief Executive Offer, working with minimal supervision to handle details of a highly confidential and critical nature. The Executive Assistant requires in-depth knowledge of company operations, policies, procedures and functions.

This position will be located in Bedford, MA.. This position does require the ability to be on-site.

Primary Responsibilities

  • Understand business priorities and provide support to the executive team to ensure operational meetings and interactions run efficiently.
  • Complete a variety of administrative tasks for the CEO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing Board correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Independently prepare expense reports and purchase orders with a solid understanding of the expense reporting, invoicing and purchase order procedures and budget process.
  • Provide a bridge for smooth communication between the CHRO/CFO and internal departments; demonstrate leadership to maintain credibility, trust and support with senior management staff.
  • Coordinate Earnings call activities.
  • Coordinate investor visits to corporate HQ.
  • Coordinate investor roadshows with major analyst firms.
  • Manage and coordinate all aspects of executive meetings including conference room reservations, teleconference & videoconference set-up, catering, and associated meeting logistics including related social activities for both on-site and off-site events.
  • Provide coverage and support to other Executive Assistants supporting the Novanta leadership team.

Required Experience, Education, Skills and Competencies

  • High School Degree (or equivalent experience) with 5+ years C-suite / President level administrative experience.
  • Demonstrates an ability to carry out all responsibilities with exemplary verbal and written communication skills, attention to detail, time management and organizational skills while producing high-quality work.
  • Excellent computer skills: Outlook (e-mail and calendar management), Word, Excel, and PowerPoint and other Microsoft Office products.
  • Experience in event planning, managing and coordinating all aspects of executive meetings and conferences from inception to completion.
  • Demonstrated strong self-starter, pro-active and self-motivated while having the flexibility to build relationships while handling change and solving problems calmly and professionally in a team environment.
  • Demonstrates resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative.
